Configuration: Shop Stock



Shop stock are the items that are sold through the retail business. Shop stock are drystock items - that is they are not fuel dispensed on a forecourt.

Shop stock is created and edited in the Configuration/Shop Stock menu. Selecting an existing shop stock item makes it available for editing. Select the "New Shop Item" button to create a new shop item and then follow the onscreen prompts.

Creating a new Shop stock brings up the New Shop Item form.

A shop stock item has the following configuration options:

  • Description: This is the name of the shop stock as it is displayed at the point of service, in reports etc.
  • Department: This is the trading department the shop stock item is associated with
  • Cost Price Method: This defines how the cost price of a shop item is obtained. The options being:
    • Average Supplier Cost Price : Average supplier cost price calculates the cost of inventory using the weighted average cost of all stock currently held. It is useful where purchase prices vary over time, providing a consistent cost of sales and inventory valuation
    • Derived Cost Price: Derived cost price calculates the cost of an item from the combined cost of its component items or recipe. It is useful for manufactured or blended products where the cost is determined by the materials used rather than the purchase price of the finished item
    • Last Supplier Cost Price: Last supplier cost price calculates the cost of inventory using the cost of the most recent purchase. It is useful where the latest purchase price is considered the best representation of the current replacement cost of inventory
    • Manually Entered Cost: Manually entered cost price uses a cost entered directly by the user. It is useful where the cost cannot be determined automatically or where a fixed or estimated cost is required for inventory valuation and profitability analysis
  • Stock Value Method: This defines how inventory is valued and counted. The options being:
    • Cost Price: Cost price includes the item in inventory valuation, stock counting, and profitability analysis using the selected cost price method. This option should be used for items where the value and cost of inventory need to be tracked.
    • No costing analysis: No costing analysis excludes the item from inventory valuation, stock counting, and profitability analysis. This option is suitable for items where stock value is not tracked, such as services, fees, deposits, or other non-inventory items.
  • SKU: The Stock Keeping Unit (SKU) is a unique identifier for the shop stock item, typically a 4 digit number that is easily types at the POS
  • Symbol: Used for reporting and analyse purchase, this is typically set to "ea" for each
  • Preferred Supplier: The first or preferred supplier for this shop stock item
  • Accommodation: Enable the Accommodation check box if the item is for accommodation and requires accommodation distinct processing or reporting
  • Not Sold Individually: Shop stock items such as recipe ingredients that are not sold at the POS individually but which are part of the trading for the site
  • Quantity Required: Enable the Quantity Required check box if the shop stock item is sold in multiples other than 1 such as loose vegetables
  • Mass Required: Enable the Mass Required check box if the shop stock item is sold by weight
  • Tobacco: Enable the Tobacco check box if the shop stock item is tobacco and its sale may be limited to specific cashiers
  • Alcohol: Enable the Alcohol check box if the shop stock item is alcohol and its sale may be limited to specific cashiers

Selecting a shop stock item from the list of items brings up the edit form for the specific shop stock item.

  • Sell Price (excluding consumption tax):
  • Cost Price (excluding consumption tax):
